Roles & Responsibilities
1. Pre-Flight Responsibilities
1.1 Equipment Setup:
- The ground crew helps unpack and prepare the balloon for flight. This includes laying out the balloon envelope, assembling the basket, and attaching burners and fuel tanks.
1.2 Inflation Assistance:
- The crew assists in inflating the balloon, using a fan to cold-inflate the envelope with air and then helping with the hot inflation by managing the burners.
- They hold open the mouth of the balloon and guide its inflation, ensuring it fills properly and safely.
1.3 Securing The Basket:
- During inflation, the ground crew stabilizes the basket to prevent it from tipping over as the balloon begins to rise.
- They ensure the balloon remains grounded until the pilot is ready to take off.
1.4 Passenger Safety Briefing:
- While the pilot usually conducts the main safety briefing, the ground crew may assist passengers in boarding the basket and securing themselves.
- They ensure passengers are safely inside the basket and that all pre-flight safety checks are complete.
2. Launch Support
2.1 Assisting With Takeoff:
- Once the balloon is inflated and ready for flight, the ground crew ensures the balloon’s lines are clear and assists with the final stages of takeoff.
- They may help the pilot by stabilizing the basket until the balloon begins to lift off.
2.2 Pre-Launch Safety Checks:
- Double-check all systems before takeoff, including fuel levels, burner operation, and communication with the ground crew.
- Ensure the passengers are safely secured in the basket.
2.3 Takeoff:
- Safely control the ascent, using the burners to achieve lift-off.

3. Flight Monitoring
3.1 Tracking The Balloon:
- While the balloon is in flight, the ground crew often rides in the retrieve vehicle (alongside the retrieve driver) to follow the balloon’s flight path.
- They stay in communication with the pilot, monitoring the balloon’s location and preparing to assist with landing.
3.2 Communication With The Pilot:
- The crew stays in regular contact with the pilot via radio or GPS to receive updates on altitude, direction, and potential landing zones.
- They help the retrieve driver navigate roads to keep up with the balloon’s flight path.
4. Landing Assistance
4.1 Arrival At Landing Site:
- Once the pilot has identified a landing site, the ground crew positions themselves to arrive promptly, assisting with landing if needed.
- They obtain the landowners permission to access the landing site to retrieve the balloon.
4.2 Securing The Balloon:
- Upon landing, the crew assists by stabilizing the basket and preventing the balloon from dragging or tipping over.
- They may grab and pull the balloon’s guide ropes to bring it under control after landing, especially in windy conditions.
5. Post Flight
5.1 Deflation of the Balloon:
- After landing, the ground crew assists with deflating the balloon. This involves releasing air from the envelope through the top vent and controlling how the balloon deflates to ensure it doesn’t cause damage.
5.2 Packing Up The Balloon:
- The crew helps fold and pack the balloon envelope into its storage bag, along with disassembling and packing the basket, burners, and other equipment.
- They ensure all equipment is safely and efficiently packed into the chase vehicle or trailer for transport.
5.3 Transporting Passengers & Equipment:
- Once the balloon is packed, the ground crew helps transport the passengers, pilot, and equipment back to the launch site or designated meeting point.
6. Post-Flight Inspections and Maintenance
6.1 Equipment Inspection:
- After the flight, the ground crew may assist in checking the balloon and its components for any signs of damage or wear.
- This includes inspecting the balloon envelope, burners, basket, and other equipment to ensure everything is in good condition for future flights.
